Disciplinary action 4 Pass in Internal examination
• Students can download or print there examination admit card

Departments
The super admin will have the rights to add any department. Once the department is created then the rights to manage the department will be assigned to the department head or administrator. To delete any department the super admin needs to delete all the information added by department admin

Semesters
Once the department is added the department admin will now add the semester and the duration of every semester in that specific department.

Subjects & Syllabus
As per the added semesters the subjects of the semester will be added along with the syllabus. If any subject gets obsolete in any specific year then admin can disable the subject without deleting it. Similar way if any syllabus changes then admin can disable the old syllabus. This is help to keep the old records.

Counseling
The counseling takes place in the beginning of new batch. The students who have qualified in the entrance exam of the institutes will be allowed in the counseling. In the counseling the students will be allocated their departments and will receive their enrolment number. The super admin will register the students with their personal information, educational backgrounds, records (or documents), fees, entrance exam results and information related to counseling like enrolment number and department allocated. During the counseling the management team and the super admin can view the number of sits already allocated in any department. The student’s information related to fees and records will be confidential and only super admin can view them.

Student Registration
The students will get registered during the counseling but they will get their access information only when they join the department. Once joined the department admin will trigger an automated bulk email to all the students joined the department with their access information. The task, which any registered student can perform, is mentioned in section 1.1

Faculty Registration
The super admin or the department admin will register a faculty if the institute selects the faculty. The task, which a faculty can perform, is mentioned in section 1.1

Department Head Registration
Super admin will register the department head. Once registered as per the selected department the department head can manage all the modules in that department. The task, which a department head can perform, is mentioned in section 1.1

Fees Details of students
The super admin can view and manage the fees paid by any student to get enrolled in the Institute. Fee module has an extra level of security which only assigned user can access. For any student if any fee is due than an automated alarm will be triggered to that student and admin once the due date arises.

Messaging Tool
If any student wants to resolve few queries he/she can have a messaging conversation with the any of the faculty in the Institute. Any conversation done will be sent as an email and will also be stored in the database so that the student can have records of all the past conversation. This module will help the student to have more confidence with the faculties.
Work Flow:
a. Students need to register them to get access of this service.
b. Once logged in with correct user-name and password, he/she can access the required service query form.
c. After filling up the required query form once the student submits the form with a selected faculty, an email will be triggered to the faculty. The information will also be stored in the database with status pending.
d. The student can check all the requests (past and present) send by him/her sorted by the status of the request.
e. Now the faculty needs to login to the FCMS and check all requests with status pending.
f. Faculty will click the request and text box will be prompted where he/she can write any message (as email) and also attach file.
g. The faculty message with the attached file will be sent as an email to the user with the information stored in the database and attached files saved in the hosting server. The status will change to resolved.
h. The student will also get the information from the faculty in email. He/she can also view the request status from user SCMS (after login).
i. If the student is not satisfied with the message sent by the faculty then he/she can send query again the status will again become pending.
Attendance
The attendance module will work for student, faculty and department heads separated with the access level.
Any members can see their personal attendance record using their respective CMS. For any query the member can send a message to their respective heads
For faculty and department head the attendance records can be fetched from any 3rd party attendance device. The IMS software will be integrated with the 3rd party attendance device and will access the database of that device. In normal case the attendance will be a manual process which the user will login and give the attendance online.
For student the faculty will mark the online attendance manually. By default all the student will be marked present.
A threshold alarm will act in this module. An email notification will be sent if any member (student, faculty and Department head) gets absent for more than a configured number of days.

• For faculty and Staff the attendance system can be integrated with biometric attendance device and get the records for reporting
• For students the faculty will mark the attendance online.
• There will be option to mark the attendance as on-duty if a faculty, staff or student have approved the leave for some institute activity for which he/she was absent.
• Student can apply leave Online with CC to all the concerned course/subject teachers. The authority for approval lies with HOD, after which it will be reflected in student’s record accordingly.

Online Student network forum
The students and faculties to create communities and discuss different queries will use online network community forum. This will increase the open discussion among the students. Admin will have the authority to stop or delete any community that required. To develop this forum we will be using third party tools.

Leave Management
The super admin will add the rules of the leave structure of the institute. If any faculty needs a leave he/she can apply online and find the status of the leave applied. The department needs to approve the leave applied by any faculty. The faculties can also view their complete leave information with details of the leaves applied, leaves left, leaves status etc.

• Staffs can apply leaves online.
• Department can view all its employees leaves.
• Option to Approve/Disapprove any leave applied.
• There will be option to apply for on-duty leave as mentioned in point 2.
• While releasing salary in the Pay Roll System, the Software may check how many days in a month a staff has come or if he has used up his leaves (in such case, salary deduction) etc. Also it helps to generate monthly statement, yearly statement for Management to view. Basically it replaces age old attendance register that we are currently using.

Timetable Scheduler
Department head will schedule the timetable of any batch. He will also assign the faculty related to the timetable prepared. Students can view the timetable of their allocated batch.
Whenever the timetable is prepared and faculties are allocated an automated email to the faculties will be triggered.

• Facilities/classroom management option where one room blocked for a session will be reflected as unavailable for that period for others.

Class Allocation Scheduler
This module is actually related to timetable scheduler for allocating the faculties related to the timetable prepared. While allocating department admin can also view the number of hours allocated for any specific faculty, if the allocated hour is more than a specific configured hour than an alarm will be raised.

Exam scheduler
Department admin can schedule the exams as per the time, date, batch and faculty members assigned as examiner.

Online Test
Faculty members can prepare online test papers by adding questing with multiple choices. The test will be visible to students only when the facility wants by enabling a flag. The students will give the online test and the result will be displayed and stored when the test is over.

Notice Board
Faculty can send any important notice to his/her students. The notice will be stored and also will be emails to all the students. Once the student login into the SCMS he/she will get the Notice as an alarm.
Department head or super admin can also send Important Notice to facility or students.
Admin will have the authority to submit any notice in the website. The notice can contain any message with date. Whenever a new notice comes it will automatically send email to all the registered users (faculty, students, and management team). This notice will also be saved in the database and will be displayed in the website.

Results
The results of the internal exams, end semester exam, assignments, surprise test/quiz and online tests will be displayed online.
The students need to use the SCMS to view their respective result. The faculties can view the results of all the students under his/her.
An automated email will also be triggered to the students and their parents whenever a result gets declared.
Automated reports will be generated at the end of the semester with all the assessments take by the faculties.
Progress Report of Students
Faculties will generate the progress reports of any student. The students and their parents will receive an email with the progress reports. The students can also view the progress report using SCMS.

Alarms
There are number of alarm system in the software to notify attention of various users. The alarms can be triggered as email or SMS. The specific areas where the alarm module is working in the software are as follows:
• Whenever a notice is declared
• Whenever a result is declared
• Whenever a timetable is declared
• Whenever a leave is applied or approved
• Whenever a student, faculty or department heads gets absent for more that a specific number of days.
• When any book in the library is not returned with in the date of return
NOTE: For SMS a 3rd party tool is required to integrate

Important/Research Papers
Department admin can upload any good paper, research work or seminar of the students or facilities. This will help to develop a department wise document base.

Library Management System
Department admin or librarian will manage the department wise library system.
The admin will update the entry of any new book in the library. Students, Faculties or Department head can have an access to view the books available in the library. If any book in the library is not available then it will display record of the book with availability date and the person having it.
An alarm will be trigged to the librarian if any member does not return any book within the date of return.
Librarian can view the record of the books and its booking status.

The management team can add there information with background details and picture in the website. The management team belong to the team of higher authority those who are running or managing the institute. Admin will have the authority to verify the members.
